Privacy and data-use notice

This notice covers the current metadata-only Propdesk Call Vault Read Only tool and these application information pages.

Information accessed and purpose

The tool accesses the authorizing Google account’s email address to verify account identity, recording-file metadata in the designated Call Vault folder, and authorization credentials needed to call Google Drive. File names themselves may contain personal information. Metadata is used to inventory the source collection, compare inventories and diagnose operation.

Although the Google read-only authorization technically permits account-wide reading and downloading, the reader is configured to inventory a fixed Call Vault folder. The current reader does not download recording contents, transcribe audio, identify speakers or assign recordings to client matters.

Storage and retention

Authorization credentials and operational records are kept on operator-controlled devices. The OAuth token is encrypted at rest using Windows user protection and is kept in a directory with restricted file access. These controls do not make a compromised operator account safe.

No automatic deletion schedule has been implemented for metadata reports or operational records. They remain until the operator removes them, subject to applicable preservation requirements. Original source files remain in Google Drive and are not edited or deleted by this tool.

Other services involved

Google processes authorization and Drive API requests. When the operator uses ChatGPT and Desktop Commander to operate or validate the tool, selected metadata and operational results may be processed by those services under their applicable terms and privacy practices. Recording contents are not downloaded by the current reader.

These public information pages contain no Google credentials and have no connection to the private recording collection. They do not accept uploads or run an advertising or analytics SDK. Cloudflare, as the hosting provider, may process ordinary connection data for page delivery and security.

Use restrictions

The tool does not sell Google user data or use it for advertising. The tool itself does not train AI models. Use and transfer of information received from Google APIs must comply with the Google API Services User Data Policy, including its Limited Use requirements. New processing or sharing capabilities require review and updated disclosures before activation.

Revoke access or request deletion

The account holder can revoke the application in Google Account connections. Revocation stops future authorized API access; it does not itself delete local metadata or Google Drive source files. For questions or deletion requests, contact Founder@Propdesk.ai. Do not send recordings, passwords or access tokens with an enquiry.
